Microsoft Outlook - Exporting KU Email to a .pst Data File

Summary

This process is only for copying your personal files and information from your KU account to your personal account. A copy of KU documents should only be made in cases where you are building a portfolio. Please seek the guidance and direction of your supervisor and the technical support team for your department.

  1. Open Outlook on your computer.

  2. Select File.

  3. Select Open & Export.

  4. Click Import/Export.

  5. Select Export to File.

  6. Select Outlook Data File (.pst).
    Selecting Outlook Data File (.pst) from the list of file types, then clicking next.

  7. Select your email address; make sure to select Include Subfolders to ensure you get everything in your mailbox. Selecting your email address, then clicking the Include subfolders checkbox, then clicking Next.

  8. If you want to change the location and name of the .pst file, click Browse. Otherwise, the default file path and name will be C:\\Users\\(username)\\Documents\\Outlook Files\\backup.pst.
    Clicking Finish if you do not want to change the location and name of the .pst file.

  9. Enter a password if you would like to password-protect the Outlook data file. If you do not want to set a password, click OK without entering anything in the password box. Clicking OK after deciding if you want to set a password to password-protect the Outlook data file.

The export process may take some time, depending on the size of your mailbox and how many items are contained in it. Once saved, the .pst file can be opened in any instance of Outlook by doing the following:

  1. Open Outlook. You cannot open a .pst file by double-clicking it.                                                                        Viewing example of warning that you cannot open Outlook data files outside of Outlook.

  2. Click File.
    Clicking File option in Outlook.

  3. Select Open & Export.
    Selecting Open & Export from the dropdown menu.

  4. Choose Open Outlook Data File.

  5. Select the saved .pst file from the prior steps.

This will add a section to your Outlook sidebar titled with the same name as your Outlook data filename.

If you run the export and it does not contain everything, follow the steps below to export everything:

  1. Click File.

  2. Click Account Settings and Account Settings from the drop-down.
    Clicking Account settings, then clicking Account Settings... from the dropdown menu.

  3. Select your KU email and click Change.

  4. Drag the slider to the right until it says All as seen below. Then click Next.

  5. Restart Outlook.
