Microsoft Outlook - Removing and Re-adding Outlook Profile in Windows

Summary

Removing an existing Outlook profile and creating a new one can resolve a number of problems with accessing your e-mail account. While this process will not delete any of the online data tied to your KU email account, it will remove any offline data and reset any views or filters you have set up in Outlook.

  1. Press the Windows Key Windows Key (⊞) on your keyboard and type Control Panel to open the Control Panel.

  2. Type Mail in the Control Panel search to pull up the Mail tool. You can also find this in the User Accounts category. Selecting Mail (Microsoft Outlook) from the Control Panel.

  3. Click Show Profiles.

  4. Click Add to create a new profile before deleting the old profile. 

    • Deleting the old profile first may result in loss of data.

  5. Enter a name for the profile and click OK.

  6. Fill in your account details, then click Next.

  7. Sign in to your KU account via Microsoft, if prompted to do so.

  8. Click Finish once Outlook has finished pulling in the account's server settings.

  9. Ensure the "Prompt for a Profile to be used" is selected. This will allow you to switch between profiles as need. Typically to ensure you've not missing anything from the old profile. Like and archive, departmental inbox, or email encryption.

  10. Now, close Outlook and reopen it.
    You should see a prompt asking which profile you want to open. Remember: you must close and reopen Outlook anytime you want to switch between profiles.

It's recommend you delete the old profile once everything looks good. This prevents confusion in the future.

  4. Select your old profile and click Remove (the name may be different than what is shown below).

  5. Confirm that you want to remove the account by clicking Yes
