Summary
Microsoft Teams is the application used by KU to host online virtual meetings. Read below for details on how to create a meeting and common meeting settings and questions.
Meetings can be setup for now or a time in the future.
Click Calendar from the navigation sidebar on the left.
To schedule a future meeting follow step one above, then:
Click New meeting in the top right.
Input the details of the meeting (Meeting title, people you want to invite to the meeting, date and time of the planned meeting, which Team channel the meeting will be held in, etc). Once you filled out the necessary details and time of the meeting, click Save in the top right to schedule it. The attendees that you added to this meeting will then receive an automated email invitation saying when the meeting is with a link to join.
To meet now follow step one above, then:
Click Meet now.
Type a meeting name, and click Get a link to share if you want to share a link to the meeting to people. Then, click Start meeting to create the meeting.
This setup page should come up. From here, you can enable or disable your camera and set audio settings. Once you're ready, click Join now.
This popup will then appear. You can click Copy meeting link if you want to share a link to the meeting to people via a messaging platform, click Add participants to add KU individuals directly to the meeting, click Share via default email to share the meeting link by email, or click the "X" in the top right of the popup to close the prompt and participate in the meeting.
You can also add new people to the meeting while it is open. To invite people to the meeting, click the People icon at the top.
Type in the name or phone number of the person you want to add to the meeting, and click on their profile to add them. Repeat this for as many people as you want to add.
You should then see this page. From here you can change audio settings.
Click the three dots for more options. then, click Video effects and settings. You can also access video settings by clicking the down arrow beside Camera and select More video effects and settings.
Video settings can be changed by selecting Settings.
Background effects can be changed by selecting Video effects.
Background effects can also be changed by clicking the arrow beside Camera.
Click the three dots for more options. Then, click Language and speech, select Turn on live captions.
Click the three dots for more options. Then, click the Record and transcribe dropdown. From here, you can click Start recording to begin recording the Meeting. You can also click Start transcription to just start a transcription.
You will see this alert upon starting recording. Be sure your Team members are aware that they are being recorded.
When you want to end the recording or transcription, click the three dots for more options. Then, click the Record and transcribe dropdown. From here, you can click Stop recording to begin recording the Meeting. You can also click Stop transcription to just start a transcription.
You will then see the message below.
Updates to Teams Meetings Going to "Deleted Items" folder.
Is it expected behavior for Teams meeting updates to go to trash?
Yes, this is expected behavior with Microsoft 365.
What happens if a meeting request is made to Teams meeting?
If a meeting request only has changes to the body of the calendar item or adding an attachment:
it will send the update to all recipients deleted items folder.
If the time/date is changed or the recipient list is changed:
the meeting request will go to the recipients inbox.
