Summary
Globus is the University of Kansas's secure file transfer protocol (FTP) solution and integrates with KU's Research File Storage (ResFS) and other storage platforms.
KU faculty and staff should follow the instructions below for one-time account set up, optional installation of the Globus client on a KU workstation, and data retrieval using Globus.
If you are, or are collaborating with a party outside of KU, another article: Globus - Non-KU Account and Client Setup overviews how an external-to-KU collaborator can set up and use Globus in order to send and retrieve files with a KU partner.
Prerequisites

Access to a ResFS file share.

Personal endpoint sharing permissions (optional).

Contact the Center for Research Computing (CRC) Globus group to request access by completing the Sharing Request Form.

Permissions allow you to share data from your personal endpoint, which is the computer you have the Globus Connect Personal client installed on per section "2. Setup - Globus Client on Your Computer (Optional)" below. You may also share data between two personal endpoints, including between yourself and a KU collaborator or an external collaborator.
1. Set Up - Globus Account
To set up a Globus account and begin using Globus, log in with your University of Kansas account. You will then be taken to the File Manager where you can transfer files.

Open a web browser and navigate to: https://globus.org then click: LOG IN in the top right of the screen.

Click in the Look-up your organization… box and type: University of Kansas.

Click: Continue.

You will be redirected to KU SSO. Enter your KU ID or KU Online ID and click: LOGIN.

Click: Continue.

Click: Allow to proceed.

You will be directed to the File Manager page.

This is the main page where you can transfer files to and from the collections you have access to on your computer, in ResFS, an external collaborator's share, etc.

2. Set Up - Globus Connect Personal Client (Optional)
This section is optional and is only required if you wish to transfer files directly to or from your local computer. If you are only transferring files from ResFS to non-KU collaborators, you may skip this section.
Follow the steps below to install and configure the Globus Connect Personal client on your computer.
Install Client on Your Computer

Navigate to: https://app.globus.org.

When Globus Online opens, click: Collections on the left side of the screen.

Click: Get Globus Connect Personal in the top right.

Click: Download Globus Connect Personal for...

-
Once the download completes, run the globusconnectpersonal installer from your downloads folder, then click: Install

Follow all default installer prompts and click: Install.

In the Completing Globus Connect Personal Setup window, ensure Run Globus Connect Personal is checked, then click: Finish.

A new Globus Connect Personal Setup will open, click: Log In.

Enter a name for this computer, then click: Allow.

Give the new collection a name and click: Save.

Example collection name: Lab Files, Instrument Data, etc.

This is the name of your client endpoint collection.
-
If your data contains PHI or controlled unclassified information, check the High Assurance check box.

Click: Exit Setup.

The Globus Endpoint client is now installed on your computer. When using Globus Online at https://app.globus.org your computer will show as a location to copy files to and from. If you would like to adjust the location where files will be saved on your computer, and change it from the default Documents folder, follow the steps below.
Create Custom File Storage Location (Optional)
By default, Globus selects your Documents folder as the location it will save and copy files. You can change this location to another of your choice by performing the following:

Right-click on the Globus icon in the bottom right of your screen.

Click: Options...

If you wish to remove the default Documents location, Click: c:\Users\... to highlight it, then click the minus (-) button in the bottom-right to remove it from the list.

To add a new location, click the plus (+) button in the bottom-right of the window.

Click the new folder icon in the top-right of the screen, name the folder to match the collection name you created above (example: Lab Files, Instrument Data, etc.). Click the folder you just created and click: Choose.

The Writable option is selected by default to allow files to be copied to your folder. Click Save to apply changes and exit.

You are now ready to copy data to and from your computer. If you checked the Shareable box, then others are allowed to copy files from your folder to their device. If you have any questions, please reach out to your KU collaborator or IT support contact as needed.
3. Share Files from ResFS
Globus integrates with our server platforms, including ResFS, in order to easily and securely share files with those inside or outside of KU.
Share Files with Collaborators

To access the Globus File Manager, navigate to: https://app.globus.org, or right-click the Globus system tray icon and select Web: Transfer Files.

Click inside the Collection search box and type: KU Data Transfer Node then select its entry from the list.

Consent is required for Globus to manage data. Click: Continue.

Authenticate your identity by clicking the right-facing arrow next to your @ku.edu email address.

Click: Allow.

Double-click the resfs folder.

-
Double-click the GROUPS folder.

-
Scroll to find the next folder in the file path that you wish to share, then click the right-facing arrow to the right of its name. Repeat this process until you reach the folder you wish to share.

Click the checkbox to the left of the folder you wish to share, then click the Share icon on the right.

Click: Add a Guest Collection on the right.

If prompted to authenticate, click the Continue button. Name the collection, add an optional description, check the box next to Force encryption on transfers to and from this collection, then click: Create Collection.

Click the Permissions tab, then click either the Add Permissions - Share With button or the Add Permissions icon on the right (double-silhouette with plus sign).

Ensure user is selected, click: Change and enter the KU email, collaborator's email or the Globus ID email (if the user is external to KU and they shared with you) you would like to share the folder with. You may write an optional message to the collaborator to inform them this is the collection with their data. When done, click the Add Permission button.

An email will be sent to the collaborator that you shared your files with notifying them that they now have access to copy files from the folder.
Enable Collaborators to Share Files with You (Optional)

If you would like to allow collaborators to share files with you, you must select the Write checkbox after the "Share Files with Collaborators" section's step 10 above, then click: Add Permission to allow them to add files to this directory.

An email will be sent to the collaborator that you shared your files with notifying them that they now have access to copy files to and from the folder and the Write checkbox to the right of their name will be checked.

4. Manage Collection Endpoints
After you have shared collections you can access them by opening the Collections section in Globus Online and view them as a list.

Navigate to: https://app.globus.org and click: Collections on the left side of the screen.

Click the Administered By You tab at the top of the screen. You will now be able to see the collections you have previously set up and shared. If you click: Shared With You you will be able to see collections that others have shared with you. To change any attributes of the collection, click the right facing arrow on the right side of your collection's line entry.

Once the right-facing arrow is clicked, you can edit attributes of the collection share, open it in File Manager to see its contents, and delete the share. You may also edit who the collection is shared with by clicking: Permissions at the top.

Now that you have created Globus Collections, set their sharing permissions, and altered their attributes, you have completed the fundamentals of sharing files with Globus. If you have any questions, please reach out to your regular IT support.
5. Globus Data Retrieval from a Non-KU Collaborator
In order to retrieve files from a collaborator external to KU, you must share a folder location with them and allow them to write files to it.
Add Write Permissions to Folder

Log in to Globus File Manager by visiting: https://app.globus.org, or right-click the Globus system tray icon and select Web: Transfer Files.

Click: Collections on the left side of the screen, click: Shareable By You, then click the right-facing arrow to the right of the collection you wish to access.

Click the Permissions tab.

Ensure user is selected, then click the Change button and enter the collaborator’s Globus ID email (if they are external to KU). You may write an optional message to inform the collaborator that this is the collection they will upload their data to. Under Permissions, check Write to allow file uploads to this directory, then click Add Permission.

An email will be sent to the collaborator notifying them that they now have access to the folder and can upload files to it.

Note: if the collaborator you shared with is not affiliated with a university or institution that is not partnered with Globus, their name followed by @globusid.org will append their name, otherwise their name will be followed by @<their institution>.

Retrieve Files from External Collaborator

Once the external collaborator has added files to the folder they will appear in File Manager and your network file location, such as ResFS, as per below:


External collaborators can now add files to your collection and share files with you. If you have any questions, please reach out to your regular IT support department as needed.
6. Globus Data Retrieval from KU Collaborator
In order to retrieve files from a KU collaborator, you must log into the Globus File Manager and choose to transfer files to ResFS or a folder on your local machine.

Log in to Globus File Manager by visiting: https://app.globus.org, or right-click the Globus system tray icon and select Web: Transfer Files.

Click the two-pane icon in the top right of the screen.

Click: Collections on the left side of the screen, click: Shared With You, then click the right-facing arrow to the right of the collection you wish to access.

Click: Open in File Manager to access the shared collection's files.

To download files, click the checkbox next to the file you wish to download, then click: Transfer or Sync to… and:

If transferring to a location in ResFS (recommended): Enter KU Data Transfer Node into the Collection field, then enter your ResFS file path into the search field on the right-hand side of the screen. Click the Start button on the left-hand side of the screen to begin the file transfer.

If transferring to a folder on your computer, enter your computer's collection name into the Collection field, then click the Start button on the left-hand side of the screen to begin the file transfer.

Once you have submitted the transfer request a message in the top right of the screen will appear stating the request was generated successfully. You can click: View details > to view information about the transfer, such as whether it has completed and how long the file transfer took. If you do not see your file on the right-side of the screen, you can click the circle arrow to refresh the window and it will appear once the transfer is complete.

The files you transferred should now be in the ResFS folder or Documents folder on your computer.
