Microsoft Office - Installation and Activation

Summary

Microsoft 365 is an office suite of desktop applications, including: Word, Excel, OneNote, and PowerPoint, for Windows and Mac operating systems.

The steps below detail how faculty, students, and staff can install Microsoft 365 on their Mac and Windows devices.

Microsoft 365 - Mac Devices

Faculty, students, and staff can install Microsoft 365 on their Mac device.

Faculty and Staff

Faculty and staff versions of Microsoft 365 are installed on KU managed devices through the Self Service app and include licensing and activation all-in-one. Faculty or staff members who would like to install Microsoft 365 on a device that KU does not manage should follow the steps outlined in the "Students - 1. Installation" and "Students - 2. Activation" sections below.

  1. To open the installation location for Microsoft 365, start by clicking the Applications icon in your dock.

  2.  In the search bar of the Applications window type: self service, then click: Self Service in the list of results.

  3. In the Self Service window, type: office in the Search bar, then click: Install to the right of the Microsoft Office 365 entry.

  4. Once Microsoft 365 is installed, return to the Applications window, click the search bar, type in the name of the Microsoft application you wish to use, then double-click it to launch that application.

Microsoft 365 is now installed and ready for use.

Students - 1. Installation

Follow the steps below to install Microsoft 365 on your personal device. When installation is complete, follow the steps within the "Students - 2. Activation" section below to activate your install and begin using the software.

  1. Navigate to: Microsoft 365 in the cloud.

  2. Sign in with your KU Online ID and password if prompted, then click the Login button.

  3. In the pop-up window, click: Yes if this is your personal computer.

  1. In the top-left click: the App Launcher, then click: More Apps.

  2. Go to the right-hand corner and click: Install apps, then from the dropdown menu, click: Microsoft 365 apps

  3. On the Apps & devices page, click: Install Office. When the file is done downloading, go to the Downloads menu in the right-hand corner and click: Open File under the file titled Microsoft_365_and_Office_[version_number]_BusinessPro_Installer.pkg.

  4. A Install Microsoft 365 and Office for Mac will open window will open. Click: Continue.

  5. Scroll and read through the Software License Agreement, then click: Continue.

  6. Click: Agree in the software license agreement window.

  7. Click: Continue.

  9. Enter the username and password you use to log in to your computer when prompted. Click: Install Software and allow the installation to continue until it is finished.

  • Important: don't turn off your computer during the installation.

  1. When the installation is finished, click: Close.

  2. A pop-up window will ask if you want to move the installer to the trash. If you don't want to keep the .pkg file, select: Move to Trash.

Microsoft 365 is now installed. Continue to section "Student - 2. Activation" below to activate Microsoft 365 for first-time and future use.

Students - 2. Activation

Activation and first-time sign-in can be made within any Microsoft Office application.

Note that per the terms of KU's agreement with Microsoft, these programs will only work as long as you have an active affiliation with the University.

  1. Open a Microsoft 365 application, such as Word. Click: Sign in.

  2. Enter your email address, then click: Next.

  1. This will redirect you to the KU Single Sign-On page to login with your Online ID and Password, then click: Login.

  2. You will be redirected to your chosen Microsoft application once the sign-in process is complete.

    • Microsoft 365 is now ready to use on your device.

Microsoft 365 - Windows Devices

Faculty, students, and staff can install Microsoft 365 on their Windows device. 

Faculty and Staff

Faculty and staff versions of Microsoft 365 are installed on KU managed devices with the Software Center app and include licensing and activation all-in-one. Faculty or staff members who would like to install Microsoft 365 on a device that KU does not manage can follow the steps outlined in the "Students - 1. Installation" and "Students - 2. Activation" sections below.

  1. Open Software Center by clicking the search bar at the bottom of the screen, typing Software Center, then clicking its entry in the list of results.

  1. When Software Center opens, within Applications, click: Office 365 ProPlus.

  1. Click: Install.

  • Installation progress will be listed to the right of the Install button.

  1. Once Microsoft 365 is installed, click the search bar, type the name of any Office app, then click its entry in the list of results.

  • Microsoft 365 is activated and ready for use.

Students - 1. Installation

Follow the steps below to install Microsoft 365 on your personal device. When installation is complete, follow the steps within the "Students - 2. Activation" section below to activate your install and begin using the software.

  1. Navigate to: Microsoft 365 in the cloud.

  2. Login with your KU Online ID and password to Single Sign-On, if prompted, then click: Login.

  3. You will be redirected to the Microsoft 365 Copilot page. Click on the Grid menu to access the app Launcher.

  1. Click: More Apps.

  2. In the upper-right corner, click: Install Apps, then click: Microsoft 365 apps from the dropdown list.

  3. Within My account, click: Install Office. Your browser will begin downloading the OfficeSetup.exe file.

  4. When your browser finishes downloading the OfficeSetup.exe, click the downloaded file.

  1. Click: Yes.

  2. An installation progress window will open. Wait while the program installs, it can take 5-10 minutes.

  1. When the installation is finished, you will see the message: You're all set! Click: Close.

Microsoft 365 is now installed. Continue to section "Student - 2. Activation" below to activate Microsoft 365 for first-time and future use.

Students - 2. Activation

Activation and first-time sign-in can be made within any Microsoft Office application.

  1. Click the Start menu and search for your desired application, such as Word, then click the application in the list.

  2. When the application opens, enter your KU email address and click: Next.

  3. This will redirect you to the KU Single Sign-On page to login with your Online ID and Password, then click: Login.

  4. You will be redirected back to your application and it will activate automatically.

If you receive an unspecific 401 error after signing in to a Microsoft product and authenticating with Duo, this indicates a password error. Confirm you are typing in your password correctly at https://profile.ku.edu. If you are still encountering issues, see article "Microsoft Office - Troubleshooting's" Windows section .

Microsoft Project & Visio - Access Information

Microsoft Project and Visio are not included with this installation.

Students who require access to Microsoft Project can use Windows App (formerly Microsoft Remote Desktop) or purchase a personal license directly from Microsoft.

Employee's who need access to Visio must access this service through Windows App. Those interested in purchasing a licensed copy for themselves must speak with their technical support team. There is a yearly cost that will be charged back to the department for Visio licensing.
